Club Policies

Commonly requested policy information is provided below. Please contact our office for more information or clarification regarding our policies.  

Payment, Change and Cancellation Policies 

Payment Terms: Some programs will require payment in full at time of registration, others may offer installment plans.  Your registration will not be complete until payment is made in full or one or more pre-authorized credit card payments are set up when an installment plan is offered.

Methods of Payment: The Club will accept Visa, Visa Debit, and MasterCard online and in-office.  Cash and Interac Debit are accepted in-office only. The Club does not accept personal cheques, or pre-authorized debit. Installment payments are only available with a pre-authorized credit card or Visa debit.  For clarity, we do not accept monthly cash installments. If you choose to pay cash, the full program fee is due at the time of registration. If you receive third party funding (i.e. Jumpstart) you are required to make payment at time of registration, as per the program requirements, and funding will be applied to your account when it is received.

Failed Payments: If a pre-authorized payment fails, you will have 72 hours to bring your account up to date otherwise you will be charged a failed payment fee of $30 and the participant will be suspended from attending classes, training and/or Club events, until the account is current. This includes payments that fail due to a card being expired, cancelled or compromised. You will be notified of a failed payment by automated email however Scarborough Gym Elites will not be responsible if you fail to receive the email. It is your responsibility to check your account regularly. In the event of extenuating circumstances, you may request a payment arrangement by contacting our office at 416-282-2496.

Missed/Cancelled Classes:  If the participant misses class, camp, or training for any reason (vacation, illness, school commitment, family events, etc.), we do not offer refunds, credits, or make-up classes.  If classes are cancelled due to inclement weather, or power outages, we do not offer refunds, credits. or make up classes. The fee you are charged has already been pro-rated to exclude classes that the Club knows will be cancelled such as statutory holidays, winter/spring break, special events being held at the Club, etc. You have not been charged for those classes.

Class/Camp/Party Changes: A change can be made if space permits. There is a $10 fee for all class/camp/party changes.

Request to Withdraw from a Recreational Class: A Request for Withdrawal form must be submitted. The Club will calculate a pro-rated refund of any pre-paid fees, less a $50 early withdrawal fee. Any refund due will be made to your original method of payment, any amount due to the Club will be charged to the card on file. The early withdrawal fee will apply per child, per class. The Gymnastics Ontario fee is non-refundable.  The $50 fee will be waived if you withdraw before your third class. You can find a link to the Request to Cancel/Withdraw form on the home page.

Request to Cancel Camp Registration: A Request for Withdrawal form must be submitted. Withdrawals two weeks or more before camp starts are eligible for a full refund. Withdrawals less than two weeks before camp starts are subject to a $50 cancellation fee. Withdrawals once camp has begun will not be refunded. Missed days cannot be credited or transferred. The Gymnastics Ontario fee is non-refundable. You can find a link to the Request to Cancel/Withdraw form on the home page.

Request to Cancel Birthday Party Booking: Cancellations 30 days or more before the date of the party are eligible for a full refund. Cancellations less than 30 days before the date of the party are subject to a $50 cancellation fee.  You can find a link to the Request to Cancel/Withdraw form on the home page.

Membership Fees: The Club will automatically add the appropriate Gymnastics Ontario membership to your invoice and submit payment to Gymnastics Ontario in accordance with their policies.  There are no refunds for membership fees. The membership is valid from July 1st to June 30th of each year. There are no pro-rated discounts when purchased later in the season.
